Petro Vietnam Machinery- Technology (PVMACHINO) with the formation and long-term development: from Import and Export Machinery Corporation which was established dated 3.3.1956 and Equipment Accessary Corporation was established dated 03.03.1960 We were incorporated into the Corporation of Machinery and Accessory under the Decision No.163/02-03-1992 TMDL-TCCB dated 02.03.1992 of Ministry of Trade and Tourism which is the Ministry of Industry and Trade The Corporation of Machinery and Accessory was established again under the Decision No 225 TTg of the Prime Minister of the State into the Corporation 90 under the Ministry of Industry and Trade on 17.04.1995 - In December 2002, according to the instruction of the Prime Minister on the innovation, about the reorganization enterprise of State, the Corporation of Machinery and Accessories was established again under the Decision No 0713/2003/QD-BTM dated 13/ 06/2003 of the Ministry of Industry and Trade on the basis of reorganizing the Office of the company and the subsidiary units of the Corporation On 8/8/2005, Prime Minister's Decision No 197/2005 / QD-TTg allowed to operate under the organizational model of Holding companySubsidiaries Company - As a member of the Vietnam Oil and Gas Group (Petro Vietnam), the company has many opportunities to develop the business sector, investment diversification, conditional participation in large projects, access to technology , technology manager of the domestic and international partners to implement major projects - For financial leverage, the company has effectively used debt to capitalize for the business Every year, the company use funds quite effectively to make profit for the business Profitability from operation is higher than interest rates of capital debt; this ensures the solvency capability of PV-Machino is good Therefore companies need to maintain this capacity to ensure an effective operation - For human resources management, the company has done quite well the recruitment & selection process with high quality of choice to meet the initial requirements Company mostly has been hiring qualified university students or higher education Most of them are young people who are very active, enthusiastic, passionate professional, having good knowledge and ability to work in teams effectively Especially, the management team of the company and leaders work very effectively, suitable apparatus structure with company size Therefore, we can say this is a solid foundation for ensuring sustainable development for operation of PV-Machino - For product quality, the company's products are imported from some European countries, where there testing process is most strict & professional in the world, thus the quality of company’s machine & equipment are always standardized In addition, the company not only applied a quality management system of ISO 9001-2000, but the quality inspection process of the company is also very tight, quality is checked with strict warrantee from all stages of purchase, transportation and sales - PV Machino is always confident about its modern business culture and environment, which appreciate the benefit of employees on above all In addition to the facilities serving for office activities, other operational activities rather modern construction company also invested athletic fields, so that the working environment is always creating comfort for collective team of the company, in addition to remuneration of the company is also quite good This has very positive impact on the level of commitment and work efficiency of the collective staff of the company b Critical Issues: - The company’s import-export operation of machinery from overseas markets still faces many difficulties Oil and gas equipment items often have sharp fluctuations in prices, scarcity of 33 goods, less diverse models Moreover, importing activities also affected by the impact by the objectivity & subjectivity from the foreign market - At present, the company mainly imports by direct import method, this leads to higher importing costs and big business risk and puts tremendous pressure on the company capital, less capital enlisted by sales contribution section on the company's income - In fact, PV Machino only has storage warehouse containing the machine which is has not been used, as well as after each customer's lease contract, the average area of each storage about 800 - 900m2 Among them, only one store is standardized with the design, size, and conditions for limiting the influence of weather on products This warehouse was invested and built at the first date of establishment; two other warehouses are mostly hired at the empty lot without any coverage - There is a lack of representative offices and branches of PV-Machino in foreign markets strongly impacting on the market expansion of the business - Because of joining to Vietnam Oil and Gas Group ( Petro Vietnam), the company have to spend time and resources to re-organize the structure of operations, business lines, fields of investment to match with the development strategy of the Group - Although the whole system has highly effective operation, some depending units and subsidiaries are quite passive in planning for business & operation activities This leads to an unstable development of PV-Machino Besides, the co-ordination among units under the company are limited, this leads to information asymmetry within a big company - Accessing to the market is weak, some of the domestic consumer market companies not actively seek customers and wait for customers to come for contracting through bidding meeting as PV-Machino normally does - PV-Machino only owns a land on Trang Thi Street for the Headquarter, other current facilities, factories, warehouses, offices… are rent This creates huge amount of expenses for the company, especially for distribution channels - The unfavorable economy with high inflation over the past seven years which is account for 20%, in addition, the trade deficit increased sharply up to more than 300% over the same period of year, equal to 10% of GDP; and the rise in interest rates are the three main factors that directly impact the surface to the operational activity of the company - The ventilation in the trade policy of the Government allow every businesses to import and export all kinds of products including import and export of machinery, materials, equipment, spare parts, so on… This makes the edges of competition in the industries becomes more acute 34 - The fluctuation of the exchange rate for payments makes the company and foreign partners meet a lot of risk, which greatly affect the revenue and profit of the company Besides, issuing bank cannot supply sufficient foreign currency for the company pushed the company difficulties in paying with partners, affect the company's reputation Besides, in a sales contract, PVMachino have imported from abroad and pay in foreign currency, the instability in the foreign exchange policy will affect the cost and total price of Vietnamese products, create unsecured psychology for customers - In addition, after successful TPP negotiation, the fierce competition from other countries in international economic activity is also one of the difficulties that the Company is facing - The process of transporting cargo of import and export operation is also risky due to limited traffic, infrastructure Storage Systems harbors and inland transport in our country is weak, this causes more losses with higher cost of imported goods, leading to reduced competitiveness of imported goods c Proposed Solutions: - Expanding the area of the point of sales: Building showrooms that bring more modern professionalism; maintaining direct sales channels, namely to expand to points of sale in Hanoi, then this is just which sells both the showroom just a place to store the machine construction equipment, while creating the convenience of dealing with customers Thí especially helps to minimize the time and cost of the construction site building - Improving product storage warehouse: Company needs to repair, upgrade, check for structural inventory quality assurance and occupational safety, ensuring the standard conditions of temperature, humidity, area, the height of the warehouse, light power system, camera monitoring system, security system and train the staff’s ethics for professional dedication, especially relating to the work of warehouse notes the issue of the depreciation of the product, the warehouse, reduced depreciation rates to reasonable levels, and most particularly to minimize the depreciation of intangible and warehouses must always be open, avoid high humidity as these are conditions to increase the oxygen metal corrosion that greatly affects quality machinery - Enhancing the quality of after-sales service: increase value to customers by creating long-term confidence to customers, each product specifically for machine - construction equipment, the company should have warranty in the appropriate time, the characteristics of the product the machines have high-tech features so companies need to have activities on technical assistance, guidance using operational, product consulting, installation support, quality control activities periodically for customers, contribute to reducing risks during use, and demonstrate corporate responsibility to customers - Proposing recommendations to government: To have a healthy competitive environment to create favorable conditions for the efficient trading company, the Government management 35 agencies should have a complete legal system more closely manage the activities of the company to avoid tax evasion, counterfeiting State should have the quickness administrative procedures less cumbersome than many obstruct stage companies in the business process - Enhancing government intervention: The government should complete the banking & financial system to help companies borrow more easily at the same time improving the stock market system This is a capital market that enhances the mobility quickly and efficiently Because when PV-Machino wants to increase business capital, the company may issue shares or bonds to the market This helps company raise capital more quickly, and efficiently serve business Suggestions for Graduated Dissertation: After the internship at PV-Machino, on the basis research and assessment of comparative advantages, critical issues and proposed solutions of the company’s operation I would like to suggest two topics for graduated paper as follow:  Topic 1: Solutions for improving operational efficiency and importing process in the Petro Vietnam Machinery & Technology (PV-Machino)  Topic 2: Opportunities and challenges in importing oil equipment of the Petro Vietnam Machinery & Technology (PV- Machino) before and after TPP success C/ Purposes, Assigned Tasks, Measurements of The Internship: I Internship Purposes: The main purpose of an internship is helping students consolidate theoretical knowledge learned throughout my major at International School – Vietnam National University and understand how to apply this theory into real business activities of the company, which includes: - Background information about organizational structure & operation of the company Overview of functional activities of the company such as production, sales, finance, marketing, human resource… Specific knowledge about activities relating to International Business major There are very few courses at university that provide graduates with a specific professional qualification It is generally down to you to define and implement your own personal career plans An internship can be a considerable benefit to student in this respect Internships will introduce you to potential future work environments and you will be able to decide whether these meet your career wishes and interests You can also acquire important supplementary skills during an internship and make contact with potential future employers In my circumstance, the most important goal of the internship at the Petro Vietnam Machinery & Technology (PV-Machino) is to approach the practical work in an international business sector; and learn more techniques as well as get more experiences In addition, catching the specialized 36 work in a practical environment also gives me opportunity to learn more about my ability and my potential in the future The internship also helps me improve working abilities in real enterprise with theoretical knowledge and enhance attitude, personalities to adapt company’s policy and as well as self- discipline, working ethics… II Assigned Tasks: Table 11: Summary of Tasks Performed During the Internship Week Date Tasks performed - Directly email to oversee partners to ask for price, volume and conditions of contracts - Prepare full set of document includes: contract, invoice, packing From 7/3/2016 to list, types of certificates, transportation form, insurance, customs 11/3/2016 paper for clearance - Follow orders from foreign countries, send email to partner to ship goods at due date in sales contract - Check and Complete the internship report; Submit the internship report - Thank all the staffs in the Division Working Methods: Here are some tips of working experiences during my internship at PV Machino to complete my own tasks for best results as well as improve interpersonal skills for future jobs: • Translating & interpreting documents: This task requires high command of English or other languages because trading partners of the company not come from one certain country However, English is the most common language nowadays, so you should be good at English in both written and verbal in order to response to the foreign partner’s 38 enquiries as soon as possible If you study in an International School, It may be not a big deal Besides, thanks to all theoretical foundation learned from university, I could easily interpret import/export document and business mails • Practicing computer skills: At the internship company, you will have chances to improve your official skills such as learning to use facilities like fax machine, photocopier, printer…because first days of your internship is just to notice and help other photocopy documents Besides, you can enhance your Microsoft Office skills such as word, Excel, Power Point, Outlook or even some accounting soft wares such as Misa, Fast,…because you will a lot of different tasks during your internship such as typing contract, inserting data, writing VAT invoices,… • Keeping contact with the partners: When exchanging with the company’s partners, you need a highly respectful attitude and consciousness because each message sent contains important information, which can extremely affect company’s transactions Therefore, you need to improve your communication skill, especially in business context For example, when you talk, the information should be clearly conveyed and coherent, avoid go out of topic But then you listen, you need to concentrate on the partner’s says to understand his / her point and find out the best response After the call, you must note down important things to report to your supervisor • Managing time schedule: Working hour varies from company to company, but it normally takes nearly hours per day in weekdays and you sometimes have to further task after official hours Therefore, you need to manage your time budget in order to ensure the punctuality and company’s timetable During the internship, you not have too much things to do, but try to use that time as much effectively as you can Never waste your time at interned company because this is a valuable chance for you to learn a lot of things at work place For example, instead of waiting for task assigned, you can actively ask colleagues for further documents relating to your research and try to apply your theoretical knowledge on real transaction D/ Achievements & Lessons after Internship: I Theoretical Knowledge Enhanced: - After the internship, your knowledge about “International Trade Management” & “Foreign Trade Technique” theory has improved a lot With the Bachelor of International Business, you have studied about international transactions as well as how to complete a procedure of buying in or selling out products in foreign trade operation subjects This means I have well preparation of a certain theoretical foundation for the intern job at an import / export company However, because of work characteristics at PV-Machino only for importation field, my utilization of 39 importing skills is out-weighted exporting ones Besides, PV Machino mainly follows terms of Incoterms 2010 which are CIF and CFR, and their payment method is covered by T/T or D/P and L/C, so I not have much opportunity to practically access to other terms of Incoterms In my experience, we can apply very well the exact theories learnt for the work at PV Machino, especially in the Economic and Technical department where people manage all steps of importing process for the whole company - Besides improving knowledge in import/export field, you also have chances to expose accounting documents of the company such as VAT invoices, financial report, Phieu thu, Phieu chi, Giay bao no, Giay bao co…and try to analyze the data, figures based on theory you have learnt about “Corporate Finance”, “Accounting Principles”, “Financial Report Analysis”, “Taxation” - Another theoretical knowledge you have found practical after the internship period are about “Human resource management” & “Corporate Culture” You will have been trained under the instructions of managers and followed the regulations of company such as punctuality and responsibility with the job and respect to business ethics Especially with a big company like PVMachino, the corporate culture is very strong and followed by all employees not only in daily activities but also in some special events II Practical Experiences Gained: - Study must be accompanied by practice, and the internship raises practical issues that students must apply their knowledge to practical work During 6-week internship, you will approach to an effective working environment, where the ability and skill of the staffs were promoted At PVMachino, my main goal was to learn and get more working experiences and my main duties were office works such as typing, translating & interpretation, preparing importing documents as well as practice synthesis & analysis skill Especially, the Department of Economic & Technical was a focal business division, so I have opportunities to learn and practice a lot of foreign trade techniques such as negotiation, executing sales contracts, using Incorterm 2010 in real transactions, opening L/C, customs declaration for importing goods… - The internship helps me learn how to complete real import procedures, as we were taught before at school, international transactions and foreign trade operations were quite complicated and they offered its learners some knowledge base about general international business, business law, taxation and the ways to fulfill sales contracts or agreements among economic objects Internship at PV-Machino gives me chances to get familiar with every stages of an importing process handled by two parties from signing the contracts, hiring transportations, working with banks and insurance companies to taking delivery, transferring risk of goods then distributing to the market 40 -
